Privacy Policy
Privacy Policy
BioTech Services (“BioTech Services”, “we”, “us”, or “our”) supplies medical diagnostic equipment — including ultrasound, colour Doppler, echocardiography, ECG, defibrillators and patient monitors — together with installation, technical support and after-sales service across Pakistan. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and what choices you have.
This policy applies to https://www.biotech.com.pk and all its sub-pages, to our WhatsApp Business messaging channel, to our official social media pages, and to enquiries received by email, telephone or in person at any of our offices.
By using our website or by messaging us on WhatsApp, you agree to the practices described in this policy. If you do not agree, please do not use these channels.
1. Information We Collect
1.1 Information you give us directly
- Enquiry and quotation forms: full name, email address, postal address, city, country, WhatsApp/mobile number, type of enquiry (quotation, demo, technical support, installation, buy-back, spare parts, training), preferred date and time, indicative budget and your remarks.
- Customer account (shop): username, email address, password (stored in encrypted form), billing and shipping address, contact number and order history.
- Orders and bookings: product details, quantity, delivery address, invoicing details and payment reference or transaction ID.
- Complaint tracking: complaint or ticket reference, device model and serial number, installation site, fault description and service history.
- Newsletter and brochures: name and email address where you subscribe or request literature.
- Wishlist and product comparison: the products you save or compare while browsing.
1.2 Information we receive through WhatsApp
We operate an official WhatsApp Business account using the WhatsApp Business Platform provided by Meta Platforms, Inc. When you message us on WhatsApp, we receive:
- your WhatsApp phone number and WhatsApp profile display name;
- the content of the messages you send us, including text, images, documents, voice notes, location and any attachments;
- message metadata such as timestamps and delivery, sent and read status;
- a record of your opt-in — how, when and through which channel you consented to receive messages from us;
- your responses to our menus, buttons or template messages.
We do not ask for patient medical records over WhatsApp. Our business is the sale and servicing of medical devices, not the treatment of patients. Please do not send us patient names, scan reports, diagnostic images or any other patient health information. If such material is received unintentionally, we delete it and do not use it for any purpose.
1.3 Information collected automatically
- Technical data: IP address, browser type and version, operating system, device type, screen resolution, referring URL and approximate location derived from IP.
- Usage data: pages visited, products viewed, time spent, links clicked and search terms used on our site.
- Cookies and similar technologies: including cookies that keep you logged in, remember your cart and wishlist, and measure site performance. See Section 8.

3. WhatsApp Business Messaging
3.1 Consent and opt-in
We send WhatsApp messages only to people who have given us permission. You may opt in by messaging our WhatsApp number first, by ticking a consent box on our website form, by giving your WhatsApp number to our sales or service team, or by scanning a QR code or clicking a “Chat on WhatsApp” link on our website, social media or printed material. We keep a record of when and how each opt-in was obtained.
3.2 What we send
- Service messages — replies to your enquiries, quotations, order and delivery updates, installation and service appointment scheduling, complaint status and warranty reminders.
- Marketing messages — new product launches, brochures, offers and event invitations. These are sent only to contacts who have separately opted in to marketing.
All template messages we send are submitted to and approved by Meta before use. We do not send unsolicited bulk messages and we do not use WhatsApp to deliver one-time passcodes, financial services or content unrelated to our business.
3.3 How to opt out
You can stop receiving WhatsApp messages from us at any time by replying STOP or UNSUBSCRIBE to any message, by using the opt-out button in a message where provided, or by emailing us at the address in Section 12. We will action the request promptly and, where required, will continue to send only essential transactional messages relating to an order or service call already in progress. You may also block or report our number directly within WhatsApp.
3.4 Encryption and Meta’s role
WhatsApp messages are protected in transit by WhatsApp’s end-to-end encryption. Once a message reaches our business account it is stored and processed by us and by the Business Solution Provider that hosts our WhatsApp Business API access. Meta Platforms, Inc. processes message metadata in order to deliver the service. Meta’s own handling of your data is governed by the WhatsApp Privacy Policy, which we do not control.
4. Sharing and Disclosure
We share personal information only where it is necessary, and only with:
- Meta Platforms, Inc. and our WhatsApp Business Solution Provider — to route, deliver and manage WhatsApp messages.
- Hosting and IT providers — our web host, email provider and backup services, which store data on our behalf.
- Delivery and logistics partners — the courier or transport company delivering your equipment receives your name, address and contact number only.
- Payment and banking partners — to process and reconcile payments. We do not store full card numbers on our servers.
- Principals and manufacturers — such as Esaote, Edan, Honda Electronics, Innomed Medical, Toitu, Kaixin, Dawei, Mitsubishi Electric and Sony, where warranty registration, technical escalation or spare parts supply requires it.
- Analytics and advertising providers — including Meta Pixel and Google, in the manner described in Section 8.
- Legal and regulatory authorities — where disclosure is required by applicable law, court order or a valid request from a government authority, or to protect our legal rights.
5. International Transfers
BioTech Services is based in Pakistan. Some of our service providers — including Meta, our hosting provider and analytics providers — store or process data on servers located outside Pakistan. Where this happens, we take reasonable steps to ensure the recipient applies an adequate standard of protection through its contractual and technical safeguards.
6. Data Retention
- Enquiries and quotations — retained for up to 3 years from last contact, so we can service repeat requests.
- Orders, invoices and warranty records — retained for up to 7 years, or longer where tax, accounting or medical device regulations require it.
- WhatsApp conversations — retained for up to 24 months from the last message, to maintain continuity of service and complaint history.
- Marketing subscriptions — retained until you unsubscribe, plus a suppression record so we do not contact you again.
- Website analytics — retained in aggregated or de-identified form.
When the retention period ends, we delete the data or convert it into an anonymous form that can no longer identify you.
7. Security
We protect your information using HTTPS/TLS encryption across the website, encrypted password storage, access controls that limit staff access to the data they need for their role, firewalled and regularly updated hosting, and routine backups. No system can be guaranteed completely secure, but we review our safeguards regularly and will notify affected users and the relevant authorities where a breach is likely to cause significant harm.
8. Cookies, Analytics and Advertising
Our website uses:
- Essential cookies — required for login, shopping cart, wishlist and comparison features to work.
- Analytics cookies — to understand which pages and products visitors are interested in.
- Meta Pixel — to measure the performance of our Facebook and Instagram advertising and to show relevant ads to people who have visited our site. You can manage this through your Meta ad preferences.
- Embedded content — our contact page embeds Google Maps, and our brochure pages embed a document viewer. These providers may set their own cookies.
You can block or delete cookies in your browser settings. Blocking essential cookies may prevent parts of the website from functioning.
9. Your Rights and Choices
Subject to applicable law, you may ask us to:
- confirm what personal information we hold about you and provide a copy;
- correct information that is inaccurate or out of date;
- delete your information, where we are not required to keep it for legal, tax or warranty purposes;
- stop sending you marketing messages on WhatsApp, email or SMS;
- restrict or object to certain processing, or request your data in a portable format.
To exercise any of these rights, contact us using the details in Section 12. We will verify your identity before acting and will respond within 30 days. You may also delete your WhatsApp chat history with us directly from your own device at any time.
10. Children’s Privacy
Our website and WhatsApp channel are intended for healthcare institutions, medical professionals and adult buyers. We do not knowingly collect personal information from anyone under 18 years of age. If we learn that we have collected such information, we will delete it. If you believe a minor has provided us information, please contact us.
11. Third-Party Links
Our website links to the sites of our partner manufacturers and to our social media pages. We are not responsible for the privacy practices or content of those sites. Please review their privacy policies before providing information to them.
